Project Overview

A leading global social media technology company required a fully documented and secure IT Asset Disposition project for its infrastructure hosted inside an Egyptian colocation data center.

The project involved the complete decommissioning of 15 full racks housing approximately 300 HPE enterprise servers, along with network switches, structured cabling, and large quantities of enterprise HDDs and SSDs.

The client’s primary concerns were the secure handling of sensitive data, accurate inventory reconciliation, complete visibility over every removed asset, physical destruction proof for all storage devices, and financial recovery from retired infrastructure — all with minimal disruption to the live data center environment.

The Challenge

Enterprise decommissioning at this scale requires more than simply removing servers.

The client needed full chain-of-custody accountability across 300+ devices, accurate tracking of every storage media unit, physical proof that all drives were destroyed, and careful coordination inside a shared colocation facility where neighboring infrastructure had to remain unaffected.

On top of the security and logistics requirements, the project also included financial recovery through IT asset remarketing and buyback — which required proper valuation, inventory reconciliation, and international payment settlement.

Scope of Work

The engagement covered the complete lifecycle of enterprise IT asset disposition:

  • Data center coordination — Scheduling and coordinating with the hosting facility on access permissions, rack identification, and maintenance windows
  • Rack decommissioning — Safe shutdown and systematic removal of all equipment across 15 racks
  • Asset inventory — Full serial-based inventory documentation for every device
  • Parent-child asset mapping — Linking each server to its installed drives and components for complete auditability
  • Certified data destruction — Physical destruction of all HDDs and SSDs using industrial drilling
  • Destruction evidence — Photo documentation with visible serial numbers before and after destruction
  • Certificate of Destruction — Formal CoD issued covering all destroyed storage media
  • IT asset buyback — Purchasing retired equipment from the client
  • International payment — USD bank transfer settlement upon inventory reconciliation

Our Execution Process

1. Data center coordination and access management

Our team coordinated directly with the data center operations team to manage access permissions, rack identification, maintenance windows, and secure removal workflows. This ensured smooth execution without disrupting neighboring infrastructure inside the shared colocation facility.

2. Rack-by-rack decommissioning

All 15 racks were systematically decommissioned in sequence. Each rack went through server shutdown verification, power disconnection, structured cable removal, switch extraction, server labeling, and transport preparation. Every asset was tracked from the moment it left the rack through to final processing.

3. Full asset inventory and parent-child mapping

A detailed inventory was generated for every device in the project — covering server serial numbers, model information, asset categories, and storage device serial numbers. Critically, each drive was linked to its host server through parent-child mapping, providing full component-level auditability across the entire 300-server environment.

4. Certified physical data destruction

Every HDD and SSD was physically destroyed using industrial drilling equipment. Each drive was individually documented with its serial number visible, before and after condition photos, and drill-hole penetration evidence — creating verifiable proof that no data could be recovered or reused from any destroyed media.

5. Destruction documentation and Certificate of Destruction

The client received a complete destruction package containing drive serial number records, destruction photographs, inventory reconciliation sheets, and a formal Certificate of Destruction. This documentation package fully supported the client’s internal compliance requirements and audit trail.

6. IT asset buyback and international settlement

Following the completion of all destruction and documentation procedures, remaining reusable infrastructure assets were evaluated and purchased. The project concluded with a USD bank transfer settlement of $60,000 after full inventory reconciliation and client approval.
